Creating and Deleting Records

To create a record, click on the menu in the main window, then on + Add New. You can also use the keyboard shortcut Cmd+N (macOS) or Ctrl+N (Windows).

Deletion is done via the same menu, then clicking on More, then Delete. Or by using the keyboard shortcut Cmd+E (macOS) or Ctrl+E (Windows).

To edit a record, use the Edit button at the bottom of the main window.

Using Options

The User Settings panel, accessible via the vCollection > User Settings… menu from the menu bar or by clicking on the [Settings] button at the bottom left of the main window, gives you access to several options grouped under 5 tabs.

Main Options

1 General

  • Enter references automatically

    This option allows automatic entry of reference numbers. By clicking on Settings, you can specify the prefix, numbering type (001, 002, etc.) and starting number. The Initialize button applies the new rules to all existing records.

  • Insert images as reference

    Check this option if you wish to keep only a link to the images you want to insert. Be careful not to move or delete images after insertion to avoid breaking the links between records and images.

  • Resize images on insertion

    Check this option so that images are automatically resized according to the chosen settings.

  • Fit images to frames

    This option, checked by default, crops thumbnails to fit the square format of the vignettes.

  • Show reference in header

    This option displays the reference just below the artist's name in the main window.

2 Backups

The content of the Backup tab is detailed in the Backing up data chapter.

3 Printing

The Print tab allows you to show or hide page numbers and print dates in print templates, as well as to define a title in list templates.

4 Update

The Update tab allows you to enable or disable automatic checking for updates when the application starts.

5 Other…

  1. Hide prices

    This option hides purchase and insurance prices in the main and edit windows.

  2. Hide artist name

    Here you can hide the artist's name. This option can be useful if the records in your collection come from a single artist or if your collection does not reference artworks.

Multiple Selections

If you wish to manually select multiple records, click on a record in the list while holding down the Shift key on your keyboard. The selected record displays a gray dot at its right end (see screenshot below). Deselect the record using the same method.

The same operation can be done via the Records > Mark/Unmark Record menu from the menu bar, or via the More > Mark / Unmark menu in the main window.

Manual multiple selection allows you to easily isolate a set of records via the Records > Show Marked Only menu. Records isolated in this way can be processed (printed, deleted, etc.) in a single operation.
